PartyCrate Hire Terms & Rental Information

Helpful information for booking, hiring, delivery, collection and care of PartyCrate items

1. Booking & Deposits

A 50% deposit is required to secure your booking and reserve your selected item(s) or styling package for your event date.
•Deposit due dates will be outlined on your invoice
•Bookings are not confirmed until the deposit has been received
•The remaining balance must be paid before collection and/or delivery

2. Rental Period

Unless otherwise arranged, hire pricing is based on a standard single-event hire period.

If you require your item(s) for additional days or a longer hire period, please contact us prior to your event so we can confirm availability and any additional hire charges.

Late returns may incur extra charges.

3. Bond / Security Deposit

Some hire items require a bond / security deposit, depending on the item(s) hired.

  • Bonds are refunded after items have been returned and inspected

  • Bond returns are generally processed within 3 working days

  • If an item is returned damaged, excessively soiled, incomplete or not in working condition, part or all of the bond may be retained to cover repair, replacement or cleaning costs

4. Care of Hire Items

All PartyCrate items must be returned in the same condition as they were delivered or collected.

Customers are responsible for ensuring all hired items are:

  • handled with care

  • kept safe and secure during the hire period

  • protected from avoidable damage, loss, staining or misuse

Lost, damaged or broken items may incur repair or replacement charges.

Please note that PartyCrate is a hire and styling business, and while our items are maintained to a high standard, some pieces may show minor signs of prior use.

5. Cleaning

Items must be returned in a clean and tidy condition unless otherwise agreed.

If an item is returned excessively dirty, stained or soiled, a cleaning fee may apply.

Any damage beyond normal wear and tear may result in repair charges or bond deductions.

6. Collection

Collection is by appointment only.

Collection details and instructions will be provided directly once your booking has been confirmed.

Customers must inspect items at the time of collection and advise PartyCrate immediately if they notice any issues.

7. Delivery

Delivery is available across Auckland and surrounding areas, subject to availability.

Please note:

  • Delivery fees are calculated based on distance, access requirements and setup needs

  • Some items are delivery and setup only

  • A suitable person must be available onsite to accept delivery at the agreed time

  • If access delays or waiting time occur, additional charges may apply

Additional charges may also apply where:

  • access is difficult

  • stairs/lifts are involved

  • parking is limited

  • the setup area is a significant distance from vehicle access

8. Late Night Pack Down / After Hours Collection

If a late-night pack down, after-hours collection or midnight event pack down has been arranged, additional labour charges  apply.

This will be discussed and quoted in advance where possible.

9. Cancellations

If you need to cancel your booking, please notify PartyCrate in writing as soon as possible.

Cancellation Policy

  • 4 weeks or more before your event: deposit may be refunded (excluding custom purchases or special-order items)

  • 1–3 weeks before your event: partial refund may apply

  • Within 7 days of your event: deposit is generally non-refundable

Any custom-made items, purchased stock, personalised signage, balloons or specially sourced products may be non-refundable once production or purchasing has begun.

10. Photography & Marketing

PartyCrate may photograph event setups, styling details and installed hire items for use on our website, social media and promotional material.

If you do not wish for your event setup to be photographed or shared, please let us know in advance.

11. Liability

PartyCrate accepts no liability for injury, loss or damage resulting from misuse, incorrect handling, unauthorised setup, or use of hire items outside of agreed instructions.

Customers are responsible for ensuring hire items are used safely and appropriately during the hire period.

12. Full Hire Agreement

A more detailed hire agreement may be issued depending on the item(s), event type or booking requirements.

Disclaimer

All hire items are used at the customer’s own risk during the agreed hire period.

PartyCrate accepts no liability for any injury, loss, damage, theft, accident, delay or consequential loss arising from the misuse, mishandling, unauthorised setup, relocation, alteration or use of hired items by the customer or any third party.

The customer is fully responsible for all hired items from the time of collection and/or delivery until the time of return or collection by PartyCrate, and agrees to cover any repair, replacement or associated costs resulting from loss, damage, misuse or negligence.

All freestanding props, structures, signage, plinths, backdrops, lighting items and styling pieces must be positioned and used safely on stable ground and in accordance with any setup guidance provided by PartyCrate. PartyCrate accepts no liability for injury, damage or loss resulting from movement, instability, tampering, climbing, leaning, weather exposure or unsafe use after handover.

By proceeding with the hire, the customer agrees to indemnify and hold harmless PartyCrate against any claims, losses, damages, liabilities, costs or expenses arising from the use or handling of the hired items during the hire period.
